How to See, Set, and Change A User's Availability

Seeing a User's current Availability and Presence

Any user can see another User's Availability and Presence in the Spoke Phone app.

As an Administrator, you can see all User Availability and Presence in the Spoke Phone Account Portal:

Manually changing a User's Availability for them

As an Administrator, you can toggle a User's Availability between Offline and Available.

  • Login to the Spoke Phone Account Portal
  • Go to the menu Users -> Manage Users
  • Edit the User in question 
  • Go to the Status and Availability section, and click Change Availability

When an Administrator can toggle a User's Availability

When Can toggle availability?
Logged In User, Offline Yes
Logged In User, Available Yes
Logged In, Busy Yes
Logged In, On a Call Yes
Logged Out, Suspended, Invited User No

 

Changing the User Availability model for all users

  • Login to the Spoke Phone Account Portal
  • Go to the menu Other -> Advanced and select the Other tab
  • In the Other Settings panel, look for the setting: Allow employees to manage their own availability schedule
  • Turn the setting On or Off to suit your needs

Impact of switching: Allow employees to manage their own availability schedule

ON
  • User's can set up an Availability Schedule in the Spoke app that automatically sets them as Available and Offline
OFF
  • User's are unable to set up an Availability Schedule, rather they must manually select their Availability Status, e.g. Available, Offline
  • Any Availability Schedules users had set up will be permanently deleted when you turn this setting to OFF

Interacting with a User's Availability and Presence state in real time

As a Developer you can query a User's Availability using the Spoke Phone Developer API, and you can  also subscribe to the Spoke Phone Webhook to get real time notifications when a user's or team's availability status.  See the Spoke Phone Developer API.
