How to manage your availability in the Spoke Phone app

Overview

Your Availability controls when you get company calls. This article will show you how to manage your  from the Spoke Phone app.

Availability status definitions

Availability status Types of calls you may receive Notifications you may receive
Offline No calls from anyone No call or message notifications from anyone
Available Calls from customers and teammates Notifications about calls and messages from customers and teammates.
Busy

Calls to you from teammates, or calls teammates transfer to you. 

Notifications about missed calls and messages from customers and teammates.

Manually set yourself as busy for a short period

You can manually set yourself as busy for periods during the day. For instance you may have some work to finish up, and set yourself as busy for 30 minutes or the next 2 hours, etc.

  1. Go to the Spoke Phone app
  2. Tap the person icon on the bottom menu
  3. Choose how long you will be busy.

When you set yourself as busy, Spoke Phone will reset you back to being available when the time is up. If you finish early, just go back and change your status to Available.

Availability model

Depending on what Availability model your company selected when they set up Spoke, the Spoke Phone app will show you different options for controlling your availability. To determine what Availability model your company has set up (and what section of this article applies to you), go to your Spoke Phone app and tap on the the person icon.

Manual Availability Mode

You need to manually set yourself as Available or Offline each day or when you are rostered on a shift.

  • Go to the Spoke Phone app and tap the menu icon that looks like a person
  • To change your Status, tap the status name > and select the new status you desire

Scheduled Availability Mode

An Availability Schedule will automatically set you to offline and online at regular hours, so that you don't get any work calls after hours. For instance, you can tell Spoke Phone that you are offline between 6 pm and 8 am on weekdays, and offline all weekend.

To set up your Availability Schedule:

  1. Go to the Spoke Phone app on your phone.
  2. Tap on the person icon at the bottom of the app.
  3. Tap Settings.
  4. Tap My availability.
  5. Set your schedule
Part-time work ?

Spoke Phone support different hours by days of the week and shift work, etc. by using the Manual Availability Mode. Ask your company Administrator to activate Manual Availability Mode.

Offline on weekends

When you toggle 'I'm offline on weekends' this will automatically make you unavailable from 6PM on Friday and last until 8AM the following Monday. 

How to set your vacation dates

Setting yourself as 'on vacation' will override your normal automated offline hours and will automatically set you offline (and not available for calls) for the duration of your vacation. Other Spoke Phone users in your internal directory will be able to see that you are on vacation

When your vacation is over, Spoke Phone will automatically update your availability status, and your normal 'automated offline hours' will resume. You'll need to follow these instructions to set these:

  1. Open the Spoke Phone app.
  2. Tap on the profile menu icon at the bottom.
  3. Tap settings.
  4. Tap my availability.
  5. Scroll down to the out of office section.
  6. Toggle on I'm on vacation. 
  7. Enter the date of your scheduled return to the office.
